What the customer receives

HostCircle example booking confirmation

This Organization does not sell a report. What you keep is the booking and the run of show: who is standing on your stage, what he will say, what happens if he cannot come, and what you may do about that.

A complete sample confirmation, written the way HostCircle writes one. The customer, the dates and the amounts are illustrative, and nothing here was charged or reserved.

You are booking a person, not a service, and the honest part of that is clause 04. A named substitute exists, you have his showreel, and if you do not want him you may cancel for a full refund at any point up to the event. Most agencies do not say that out loud.

Host confirmed, script workshop booked

Yemi Adeyemi hosts on Saturday 14 November, on site from 17:00 for a 19:30 start, finishing at 22:45. A two hour script workshop is booked for 28 October. All 42 award recipient names have been recorded for pronunciation and 3 are flagged as needing confirmation from you.

Names

Pronunciations, and the three we cannot confirm

All 42 recipient names were run against the recordings and sources your team supplied. Thirty nine are confirmed. Three cannot be, and getting one wrong on stage in front of 240 people is the single most common way an awards night goes wrong.

NameStatusWhat we need
Siobhán Ní Mhaoldhomhnaigh Unconfirmed Two valid Irish pronunciations. Ask her, not a colleague
Xiuying Zhao Unconfirmed Tone and whether she uses an anglicised first name professionally
Ng Wei Jie Unconfirmed Name order. Which is the family name, and how she is introduced
39 others Confirmed Recorded and rehearsed

The fix is a one line email from your team to each of the three asking how they say their own name. It takes ten minutes and it is the highest value ten minutes in the whole preparation.

If he cannot come

The substitution, stated plainly

You are booking one person for one night that cannot be rescheduled. Here is exactly what happens in each case, rather than a clause saying we reserve the right to provide a suitable alternative.

SituationWhat we doWhat you may do
Yemi is ill before the day Tell you immediately and offer Daniel Osei, named substitute Accept, or cancel for a full refund
Yemi is ill on the day Daniel is briefed and on site within 3 hours Accept, or cancel for a full refund
Neither is available We say so. We do not send someone you have not seen Full refund
You do not want the substitute No argument and no persuading Full refund, any time
Your event is cancelled or moved We hold the fee against a new date for 12 months Deposit retained if you cancel outright
05

From you

What the host needs, and when

  • Final running order by 7 November. Yemi rehearses to the version he has
  • The three pronunciations by 7 November
  • Sponsor names and how they must be said, which is not always how they are spelled
  • Any name that must not be mentioned, and any subject to avoid. Tell us, it is never awkward
  • A named stage manager who is on comms with him all night
  • Autocue, or paper on the lectern. Decide by 7 November, not on the day
