What the customer receives

RetreatBase example booking confirmation

This Organization does not sell a report. What the facilitator keeps is the confirmation: the space, the hours, what the kitchen needs and by when, and the line between what the venue runs and what the facilitator runs.

A complete sample confirmation, written the way RetreatBase writes one. The customer, the dates and the amounts are illustrative, and nothing here was charged or reserved.

The practice hall and dining room are yours for the day. The important thing in this document is clause 03: the venue runs the building and the food, you run the retreat and the people, and the two have never been confused here because it is written down before the booking rather than after an incident.

02

The kitchen

Dietary requirements, and why the deadline is real

Lunch is vegetarian by default for every retreat. Beyond that, the kitchen needs to know what it is cooking two weeks out because this is a lodge outside Bled and the supplier delivers twice a week.

This table exists because a retreat has two organisations in one building on one day and it is the only thing that reliably goes wrong. Nobody has ever regretted reading it in advance.

04

The property

House rules and what to tell your participants

  • Shoes off past the boot room. There is underfloor heating and the floors are the reason people come back
  • Quiet hours do not apply during the day, but there may be residential guests in the lodge. Amplified sound stays in the hall
  • The lake path is public and not lit. Anyone walking after 17:30 in March needs a torch
  • No candles or incense in the practice hall. It is a timber building
  • Parking for 12 cars. Encourage sharing, or use the Lesce-Bled transfer
  • The nearest pharmacy is 15 minutes away and closes at 13:00 on Saturdays
