What the customer receives

StageKit example technical schedule

This Organization does not sell a report. What you keep is the technical schedule: what is coming, who is operating it, what the venue must provide, and the one thing that has to be confirmed with the venue this week.

A complete sample confirmation, written the way StageKit writes one. The customer, the dates and the amounts are illustrative, and nothing here was charged or reserved.

A speech package for 180 people is a small job that goes wrong in exactly one way: the venue turns out not to have the power or the access that everyone assumed. Clause 04 is the list your venue contact needs to confirm, and it takes them five minutes.

Confirmed, pending two venue confirmations

Speech sound package with a technician, delivered Friday 20 November from 13:00, event at 18:30, struck from 20:30. Two things need the venue's written confirmation by 13 November: a 16 A supply at the stage end, and lift access from the loading bay to level 2.

The package

What is coming

ItemQuantityNote
Full range tops on stands 2 d&b E8, ample for 180 in a lecture theatre
Subs 2 Speech does not need them. Sent for the walk-in music
Digital mixing desk 1 16 channel, operated by our technician
Handheld radio mics 2 Shure, on separate frequencies
Lavalier radio mics 2 For the two panel speakers
Spare radio mic 1 Included, not charged
Lectern gooseneck mic 1 Wired. More reliable than radio for a lectern
Induction loop 1 Perimeter loop, covers the seated area
Stage monitors 2 Low level, for the panel
Cable, stands, distribution 1 set Everything needed to connect the above

Radio frequencies are coordinated in advance and re-scanned on site. Bloomsbury has heavy radio traffic and the scan at 13:00 is the reason the crew arrives five and a half hours before the event rather than two.

  1. Vehicle arrives, load in begins

Loading bay booking required, see clause 04.

  5. Doors ready, walk-in music

Technician at the desk from here until the end.

  6. Event

Technician operates throughout. Not left unattended.

  7. Strike begins

    About 60 minutes.

The venue

Two confirmations needed by 13 November

RequirementWhyIf not
16 A single phase supply at the stage end The system draws about 11 A. A 13 A socket shared with the house lighting will trip We bring a generator, which needs outdoor siting and USD 240
Lift access from the loading bay to level 2 Two subs and a desk case do not go up a stair well safely Crew doubles, USD 220, and load-in starts at 11:00
Loading bay booked 13:00 to 14:00 Bloomsbury is red route. A van cannot wait Parking fine, and a late start
Building access until 22:00 Strike finishes about 21:45 Overnight storage and a Saturday collection
Someone with a key at 13:00 Not at 13:30 Crew waits, charged at USD 60 an hour

The first two are the ones that change the price. Send this table to your venue contact. Every venue can answer all five in one email and almost none of them volunteer the answers unasked.
