What the customer receives

TeamForge example run sheet

This Organization does not sell a report. What you keep is the run sheet: every supplier, every timing, who owns each moment, and the one thing the day is actually for.

A complete sample confirmation, written the way TeamForge writes one. The customer, the dates and the amounts are illustrative, and nothing here was charged or reserved.

Thirty-four people, one day, five suppliers coordinated to a single run sheet. The objective agreed at briefing is at the top of clause 01, because a team day with no stated objective is a day out, and you were clear that this one is not.

01

Objective

What this day is for

Not the objectiveWhy it is worth saying
Team bonding in general Too vague to design against, and it is what most team days settle for
Strategy setting Different day, different format. You have that booked for January
Celebrating the merger There is a drinks element, but the day is not that
Fixing the two people who are unhappy about the merger Not something a facilitated day can do, and trying would damage it

The two rows marked for you are deliberate. A facilitator can run a day and cannot own its purpose; the opening and the close are yours and they are the two moments delegates read as meaning it matters.

Suppliers

Who is contracted, and by whom

SupplierProvidesConfirmedContingency
Farmiloe Building Main hall, two breakouts, foyer 28 September None needed at 30 days
Priyanka Rao Facilitation, and the pre-brief 26 September Named deputy, brief shared
Marrow Kitchen All catering, 34 covers 29 September Second caterer on standby
Northlight AV Sound, screen, mics, technician 29 September Venue house kit as fallback
Crossfield Activities Both activity streams 30 September Indoor alternative already scoped

Every one of the five is contracted by TeamForge, not by Ashlow. You have one contract, one invoice and one person to call, which is the whole reason this costs more than booking a room and a caterer separately.

From you

The 12 November lock

  • Final headcount. Charged at 34 or the final number, whichever is higher
  • Dietary requirements by name, not a count. The kitchen plates by name
  • Any accessibility requirement. The venue is step free to the main hall and the breakouts are on the first floor with a lift
  • Confirmation that you will do the opening and the close
  • Anything the facilitator should know about the two teams that was not said at briefing. This goes to her only
  • Whether photographs may be taken, and whether anyone must not appear
