What the customer receives

TechStage example crew confirmation

This Organization does not sell a report. What you keep is the call sheet: who is coming, what they are competent to do, when their day legally ends, and what they will not touch.

A complete sample confirmation, written the way TechStage writes one. The customer, the dates and the amounts are illustrative, and nothing here was charged or reserved.

One engineer, called at 08:00. The thing that will bite you is in clause 02: a 10 hour day from an 08:00 call ends at 18:00, and your published programme has a drinks reception with live music until 20:00. Somebody has to pay for that or the programme has to change.

Confirmed, and your programme is two hours longer than the crew day

Sam Whitfield, sound engineer, 08:00 call Thursday 12 November for a 10 hour day ending 18:00. Your programme runs to 20:00 with live music. Either extend to a 12 hour day at USD 90 per hour, or the room is unattended from 18:00. Decide by 5 November.

02

The clock

The working time problem in your programme

  1. Crew call

The 10 hour day starts here, not at the first session.

  2. Set, line check, comms

Radio mics scanned and rung out.

  3. Speaker soundchecks

As many as turn up. Usually fewer than promised.

  4. Conference programme

Sam at the desk throughout, including breaks.

  5. 10 hour day ends

This is the contractual and the working time limit.

  6. Your drinks reception, with live music

Not currently covered. Nobody is on the desk.

  7. Programme ends

Load out would then start with no engineer present.

OptionCostEffect
Extend to a 12 hour day USD 180 Sam covers the reception and load out. Simplest
Second engineer for the evening only USD 270 A handover at 17:45, which is a risk in itself
Band brings its own engineer Ask them Common for a band with its own system, useless if they are using the house PA
Leave it unattended Free Live music on an unattended desk in front of 300 people

A 12 hour day is the maximum TechStage will roster on a single call, and 14 is the absolute limit with a break, which this does not approach. The USD 180 option is the one almost every client takes once the table is in front of them.

Scope

What Sam will and will not do

Competent and will doWill not do
Operate the sound desk Yes
Mic up speakers and panels Yes
Radio frequency coordination Yes
Playback of your video sound Yes
Basic lighting desk operation Yes, if it is simple
Ground supported staging Assist only
Working at height or on a ladder No. Not his ticket
Rigging or anything overhead No. Requires a rigger
Electrical work beyond plugging in No
Operating a genie or scissor lift No
Working alone in the venue No. Someone from your side present

Competence is role specific and TechStage verifies it per role. A sound engineer who is asked to go up a ladder to reposition a speaker will decline, and is right to. If anything needs to happen at height, tell us by 5 November and a rigger is quoted separately.

04

The venue

What has to be true on the day

  • Someone with access at 08:00, not 08:30
  • The in house PA specification sent to us before 5 November
  • A named person from your side in the room whenever Sam is working
  • Break cover, or accept that the desk is unattended for 30 minutes at lunch
  • Venue rigging, if anything is flown, done by the venue's own riggers
  • Load out access until 21:00 if the evening extension is taken
